Business Emails Going to Spam? Start With These Checks
Check email authentication, sender setup, website forms, and message quality to find why your business emails are landing in spam or not arriving.
If business emails are going to spam, separate three possibilities: the message failed to send, the receiving server rejected it, or it arrived in the spam folder. The fix depends on which one happened. A new email signature will not repair a missing authentication record, and a DNS change will not fix an incorrect recipient address.
Start with one message you can trace from sending to receipt. Save the time sent, sender address, recipient, and any error response. Avoid changing several settings at once.
Identify everything that sends from your domain
Your regular mailbox may not be your only sender. Website forms, invoices, appointment reminders, newsletters, and customer management tools may each send messages using your business domain.
List each service and its purpose. For every one, ask: Who manages it? Which address appears in the From field? Does the service show that the domain is verified? Where do failed-delivery notices go?
This inventory prevents a common mistake: fixing authentication for your mailbox while leaving automated customer messages misconfigured.
Understand SPF, DKIM, and DMARC
SPF identifies authorized sending infrastructure. DKIM adds a signature a recipient can verify. DMARC checks alignment with the visible sender domain and tells receivers how to handle failures according to your policy.
Google recommends setting up all three. Its requirements distinguish ordinary senders from bulk senders to personal Gmail accounts; authentication alone does not promise inbox placement. Check the current Gmail sender guidelines for the requirements that apply to your sending pattern.
Use the records supplied by your actual providers. Do not paste another business’s DKIM value or publish a second conflicting SPF record. If several services send mail, have the person managing DNS account for all legitimate senders in the configuration.
Check where DNS is actually managed
The company that sold your domain may not host its active DNS records. Before editing anything, confirm where the domain’s authoritative nameservers point and which dashboard controls those records.
Take a copy of the existing entries and make one planned change at a time. Mailbox routing and email authentication serve different purposes, so do not remove working mail-routing records while trying to improve delivery.
After the provider reports successful verification, send a new test message and inspect its authentication results. A dashboard saying “record added” is not the same as a received message passing the checks.
Test your website contact form separately
Submit a realistic test inquiry from a phone. Confirm that it reaches the business inbox and that replying goes to the test customer.
For a typical form, use an authenticated business sender and place the visitor’s address in Reply-To. Do not make the visitor’s Gmail address appear to be a mailbox your server owns. Ask your developer to verify the delivery provider’s configuration and error logs rather than assuming the success message proves delivery.
Our website lead-tracking checklist explains how to distinguish a button click from an inquiry that was actually accepted.
Improve the messages as well as the setup
Send expected, relevant messages. Use a recognizable name, a clear subject, and a reply address someone monitors. Remove invalid addresses and investigate repeated bounces. Avoid sudden large batches from a newly configured mailbox.
A plain test email can help isolate whether a particular template, attachment, or link is associated with the problem. It is a diagnostic step, not a claim that plain text always beats designed emails.
What to give the person fixing it
Share the sending service, approximate send time, error message, and a redacted authentication result. Never send your mailbox password or private API key in a support screenshot.
